Project Estimates/Bids:

We have the capacity to handle jobs of varying shapes and sizes. To be clear, we define the following:

Estimate is an appraisal of the project(s) at hand and given in a non-competitive environment. The final charges may vary from the Estimate if changes have been made to the original parameters.

Competitive Bid is a bid that is considered competitive when two or more bids are being considered only on price.

Comparative Bid is a bid that encompasses additional aspects like style, existing working relationship, availability, etc. In any bidding situation, all parties should have the same information and assignment criteria.

Unlike an estimate, once a bid is accepted, the price is fixed as well as the parameters of the job. Any changes to the parameters will effect the final invoice. In situations that require changes to these parameters, the change must be approved in writing at the time of the change.

Usage Rights & Fees: Usage rights are granted on a project by project basis and will be fully spelled out in the final invoice.

We calculate usage fees based on the following criteria:

Market Area - the geographic market that the image(s) will be used.

Length of Time - how long will the image(s) be used?

Size & Visibility - how large will the image(s) be run, 1/4 page, full page, etc.? Also, where will the image(s) be displayed; website, magazine, billboard, etc.?

Number of Usages - what is the total print run (circulation) of a magazine or newspaper, or the press run for a brochure, etc.?

Usage rights are granted after invoice is paid in full. All unauthorized usages will be billed at tripple day rates without prior notice, according to national copyright laws.

Postponements/Cancellations: In the event of postponement or cancellation by the client, the client shall pay all expenses incurred by DCB Photographic Imagery, and in addition, shall pay the full fee unless notice of cancellation was given at least 48 hours prior to the date photography services were to begin, in which case 50% of the fee shall be paid.

For weather delays, the client shall pay the full fee if we are already on location and 50% of the fee if we have not yet left for the location.
